Ensuring that your team members have access only to their own accounts and pipelines in Salesflare can be achieved by configuring user permissions and utilizing user groups.
Here's how you can set this up:
1. Assign Appropriate User Roles
Choose roles that align with the level of access you want to grant:
Admins: Are responsible for overseeing the team and configuring Salesflare.
Managers: Lead the group of users they’re part of.
Team Members: Work in Salesflare, without the need to take care of administration or management.
Viewers: Can only view data without editing rights by default.
Assign roles in Settings > Manage Your Team by selecting the appropriate role for each user.
2. Configure Permissions
Adjust permissions to control data visibility and editing rights:
Go to Settings > Set Permissions.
For each user role (e.g., Team Members, Managers), define:
View Data: Change the setting from “Team data” to "Own data" to restrict their visibility to the data they own or are assigned to. Alternatively, you could give them access to “Group data” only.
Create, Edit, and Delete: In a similar way, you can adjust what data they should be able to create, edit or delete.
This way you can ensure team members can only access and/or modify their own accounts and opportunities.
3. Set Up User Groups
Grouping your team members allows you to manage permissions more effectively.
You can only give certain user groups to certain pipelines, or you can only give users access to the data owned by their user group.
Here’s how to create user groups:
Navigate to Settings > Manage Your Team.
Click the "+" button to create a new group.
Drag and drop team members into their respective groups.
For example, you might create groups based on sales regions or product lines.
4. Restrict Pipeline Access
Limit access to specific pipelines based on user groups:
In Settings > Configure Pipelines, select a pipeline to edit.
Assign user groups that should have access to this pipeline.
This way, team members will only see pipelines and opportunities relevant to their group.
By following these steps, you can ensure that each team member in Salesflare has access only to their own accounts and pipelines, maintaining data security and relevance.
